Slack integration
Connect your organization to Slack, get task notifications in direct messages, post project updates to a channel and create tasks with a command.
With Slack connected, your team gets task notifications where it already talks, creates tasks from conversations and completes or reschedules them straight from a message.
1. Connect the organization (Administrator)
An Administrator opens Integrations and clicks Add to Slack. Slack asks for consent to install the assign2me app in your workspace. After that, the Integrations screen shows the workspace name and when it was connected.
- One organization connects one Slack workspace, and a workspace can be connected to only one organization. Data of different organizations never mixes.
- Members see the Integrations screen without the option to connect.
- Disconnect stops all messages at once. Commands and buttons in Slack stop working, and linked user accounts and project channels are removed.
2. Connect your own Slack account
Every member connects their own account: open Profile and settings and click Connect with Slack. The account must belong to the workspace connected to your organization. If it belongs to another one, the app tells you so.
Once connected, notifications go to Slack instead of email by default. In the notification table in your profile you choose, for each event, email, Slack or both:
- someone assigns you a task,
- someone mentions you (@) in a description or comment,
- someone comments on a task you follow,
- the due date of your task changes,
- a task you follow is completed,
- a reminder at 08:00 about tasks due today,
- someone accepts your invitation.
Direct messages
A message contains the task title, the project, the due date, the waiting time, who made the change and a link to the task. You never get a message about a change you made yourself. A message only goes to people who have access to the task.
Project channel
A project owner (or an Administrator) can post project updates to a Slack channel. In the project menu choose Slack channel…, pick a channel and the events to post:
- a task is added,
- a task is completed (with how long it took to close),
- the assignee changes.
Everyone in the channel will see the titles of the project’s tasks, including people outside the project, and the app warns you about this before you save. A task link opens only for people with access. Private tasks never go to a channel. An archived or deleted project stops posting.
Creating tasks from Slack
Type /a2m followed by a title in any channel or conversation:
/a2m Send the offer to the client
The task is created as your private task in My tasks under New. The reply with a link is visible only to you.
To turn a message into a task, use the assign2me shortcut in the message’s actions menu. A form opens with the message text as the title and optional fields: project, assignee and due date. Without a project the task is private. The task description links back to the Slack message. If you choose a project in which you cannot create tasks, the form tells you so.
If your Slack account is not connected yet, assign2me asks you to connect it and creates nothing.
Actions in messages
Messages about a task have buttons:
| Button | What it does |
|---|---|
| Complete | Marks the task as completed |
| Tomorrow, In a week, Pick a date | Moves the due date |
| Open | Opens the task in assign2me |
The action is done as you, with the same permissions as in the app. If you are not allowed to do it, only you see a message saying so and the task does not change. After the action the message shows the new state, for example “Completed by Anna Nowak”, and the change goes into the task history marked “via Slack”.
